Handling an Emergency
That Occurs During a Girl Scout Event



What Constitutes an Emergency?

  • A fatality or serious accident that require urgent medical treatment.
  • A traffic accident involving an injury.
  • An illness serious enough to require hospitalization.
  • Any situation involving law enforcement.
  • Any incident that could be reported negatively by the media.


What Should You Do?


1. Remain as calm as possible.
2. Check the safety of the scene, move the victim only if their life is in danger.
3. Dial 9-1-1 for police, fire, or medical assistance.
4. If the injury involves a minor, contact the parents/guardians.
5. Contact the Council Office (see contact info below)
6. Refer all media inquiries (press, radio, television) to the Girl Scout office.

How to File an Insurance Claim

Be sure to fill out an insurance claim for any accident or injury requiring medical attention that occurs during a Girl Scout program, regardless of whether or not you think insurance will actually be needed.

All claim forms can now be completed online. You can move from line to line, section to section, by using the Tab key located on your keyboard. Handwritten claim forms are still acceptable. The same instructions should be followed regardless of how you complete the form.

Procedures for Troop Leader or Other Activity Representative:

  1. Download a copy of the Insurance Claim Form. Complete each section to the best of your ability and sign the form (an original signature must be on the form). Be sure to provide all the information required to expedite processing and to avoid delay. Please note that the address section on the claim form must be the claimant's home address (not the Council or Resident Camp address or the address where the covered event was held).

  2. Submit an itemized bill complete with diagnosis, date(s) and procedure code(s).

  3. Retain one copy of the completed claim form for your records.

  4. Send the original and one copy to the Girl Scouts of Northern California, Santa Clara County Area office for validation along with any available bills for covered expenses which have been incurred. Claims will not be processed without GSSCC signature.
